Create and Maintain the Data Displayed on the Programme Dashboard

The purpose of this article is the identify next steps and exactly what data is required once the Programme has been created.

There are multiple Dashboards available within Serendata. They are pitched at different stages so give a unique view on each data set. The Dashboards that we have available in Serendata are:

  • My Dashboard – This dashboard contains and displays all Changes, Impacts and Stakeholders that have been specifically assigned to you as an individual/team member

  • Organisation Dashboard – This dashboard displays the Impact data via a Heatmap, Sunburst, Timeline and Capacity. Data can be viewed by Business Area, Location and Project level within the Organisation.

  • Project Dashboard – This dashboard displays the Project Timeline with all assigned Milestones. It then details the Projects Changes and Impact in terms of numbers and risk category. Total Stakeholder and Audience data is also displayed.

There is also a Programme Dashboard.

This article details how to:

  • Display and interpret the Programme Dashboard

  • Utilise the data within this Dashboard

Programme Dashboard – This dashboard provides a Programme view which incorporates all associated Projects. A Status is given for each Project within the Programme, Stakeholders, Audiences, Impacts and Action are also displayed per Project. Programme and Project Timelines are displayed with their associated Milestones. The Capacity of Stakeholders, Audiences and the actual Change Management Team are detailed. A Programme Level Sunburst is also displayed, and this can be drilled down into.

The Programme Dashboard is split in 6 Key Sections:

  • Programme Overview

  • Programme/Projects

  • Projects and Milestones

  • Capacity

  • Change Team Capacity

  • Change Portfolio Overview

Programme Overview

The top of the screen holds core data for the overall Programme such as the Programme Name and core data associated to that Project.

A comprehensive overview of the Programme outlining what is to be achieved and essentially changed as part of this Programme/Projects

A list of key Objectives, Goals and Milestones for the Programme

Programme Contacts

This field displays contact information for Sysdoc personnel that are supporting this Programme. Information includes their First and Last Name and Profile Picture.

Programme Sponsor

This field displays the name of the Programme Sponsor from within the Organisation

Locations

This field displays the locations impacted by the Programme

Programme Timeline

This Timeline displays the Start and End Date of the Programme. It also displays the Target Delivery Date on the Timeline with the Status of the Programme. The various Status that can be displayed are Cancelled, In Progress, On Hold and Completed

Programme/Projects

All the Projects that are linked to a Programme are displayed on the Dashboard.

Each Project has the following pictorial breakdown:

Timeline

This field displays the Start and End date for the Project. Simply hover over the Timeline. It also displays the Target Delivery Date on the Timeline with the Status of the Project. The various Status that can be displayed are Cancelled, In Progress, On Hold and Completed

Stakeholders

This field displays the number of Stakeholders registered to a Project. Click on the number of Stakeholders to display a detailed Stakeholder Map, which provides additional information such as Influence Level and Impacts

Audiences

This field displays the number of Audience groups registered to a Project. Click on the Audience Number to display a detailed Audience Table, which provides additional information such as Audience Size and Level of Impact

Impacts

This field displays the number of Impacts on the Project. Click on the Impact Number to display a detailed Impact Assessment, which provides additional information such as Impacts by Type, Location, Business Area and Owner

Actions

This field displays the number of Actions on the Project. Click on the Actions Number to display a detailed Action Plan, which provides additional information such as Start and End Dates

Project Team

This field pictures and information on personnel supporting the Project(s)

Projects and Milestones

Projects and their Milestones are displayed using the Timeline in on the Dashboard. All Programmes and subsequent Projects are listed on the left-hand panel. There is a Monthly and Yearly timeline posted along the top of the screen. The solid blue line represents the duration of the Programme/Project, and this is based on the Start and End Dates that are entered during the Set Up Phase. Any Milestones that are entered at a Programme/Project Level will also be visible on the timeline. They will be denoted with a coloured diamond.

Note: If Start and End Dates are not specified when creating the Programme/Project, no blue line will be displayed.

Hovering over each Milestone will provide further information. A breakdown of Milestones includes:

This icon displays when the Programme/Project is set for Go Live.

This icon represents Comms.

This icon displays multiple Comms planned during the Project timeline.

This icon represents Org. Announcement.

This icon displays any important announcements/meeting planned during the Programme/Project timeline.

This icon represents Change Plan.

This icon displays the milestone and key updates related to the plan.

This icon represents Business Readiness.

This icon displays checkpoints for Readiness Assessment.

This icon represents Training.

This icon displays Training sessions required at checkpoints.

This icon represents Engagement Activity.

This icon represents UAT.

This icon displays User Acceptance Training.

This icon represents Design/Configuration.

This icon represents Data.

This icon represents Hypercare.

This icon represents Stage Gate.

At the bottom right of the screen, the Timeline holds a Button Bar within it.

This icon represents Scroll Left.

This icon allows you to scroll to left on the timeline. This takes you into the past.

This icon represents Scroll Right.

This icon allows you to scroll to the right on the timeline. This will take you into the future.

This icon represents Zoom Out.

This icon allows you display more months on the timeline.

This icon represents Zoom In.

This icon allows you display fewer / targeted months on the timeline.

This icon represents Reset Zoom.

This icon resets any changes that have been applied to the original view of the timeline.

Capacity

This section displays and breaks down the Capacity of various Projects within the Programme by Stakeholder and Audience. Stakeholder Capacity displays a count of Total Impact and Actions assigned to each Stakeholder. This is key in the distribution of work and to identify potential bottlenecks and issues. Audience Capacity displays the Impacts and Actions by Business Area. This allows the Business Area with the highest level of Change to be tracked and monitored closely.

Stakeholder Capacity

The Chart below depicts the Total Impacts and Actions by Stakeholder scaled from most to least in total. Blue depicts Impacts. Peach depicts Actions.

Audience Capacity

The Chart below depicts the Total Impacts and Actions by Stakeholder scaled from most to least in total. Blue depicts Impacts. Peach depicts Actions.

Change Manager Capacity

The Chart below depicts the Total Impacts, Actions, Stakeholder and Projects by Change Manager.

Change Portfolio Overview

The final Segment of the Dashboard is the Change Portfolio Overview. The Sunburst provides a pictorial view of an Organisation and the weighting that each Programme and Project has within an Organisation at a given point in time.

Centred is the Organisation. Working from the inside out, the next ring in the Programme(s). The size of each Programme segment depicts the weighting that the Programme has. The next ring displays and details the Projects within each Programme. Subsequent rings then detail the number of Stakeholders, Actions and Impacts within a Project with their associated Risk Ratings.
