Create and Maintain Audiences

The purpose of this article is to detail how to utilise Audiences in Serendata.

A key aspect of any Change Management Project is to identify and be aware of impacted Audiences - Who will be affected by the change and how? Which can each group be assisted throughout the Change and kept fully engaged?

The Audience section in Serendata provides visibility of:

  • Impacted Audiences

  • Audience Members

  • Audience Sizes

  • Audience Impacts and Actions

  • Audience Influence Ratings

  • Results from all Audience Readiness Surveys as a Table and Graph

This article details how to:

  • Add and manage Audiences

  • Display and interpret the Audience Map

  • Display and interpret the Readiness Tracking

  • Display and interpret Readiness Charts

There are 4 tabs within Audiences.

Field

Description

Audiences

This tab contains a list of all Audiences on the Project. Each Audience can either be assigned specific individuals or just be added as one general group.

Audience Map

This tab contains the Audiences in a graph alongside Audience Size and Level of Impact. This allows easy visibility of where Actions should be targeted.

Readiness Tracking

This tab lists the Readiness Metrics for each of the Audiences in the table.

Readiness Charts

This tab depicts Readiness Metrics for each Audience across the conducted readiness surveys in a graph format.

Audiences

The Audiences Tab allows Audience Groups and Audience Individuals to be displayed and managed.

Information displayed on each Audience is as follows:

Field

Description

Name

This field displays the name of the Audience group

Impact

This field displays the extent to which the Audience group is impacted by the Project. The options are: High, Medium and Low.

Note: The “i” icon gives further information for each option.

Size

This field displays the size of the Audience group. Options range from 1 – Extra Small to 10 – Extra Large and Unknown.

Influence

This field displays the extent to which the Audience Group has influence on the success of the Project. The options are: High, Medium and Low. Note: The “i” icon gives further information for each option.

People Count

Displays the number of people assigned to an Audience.

Impacts

Lists all the Impacts associated to an Audience.

Actions (from Impacts)

Lists all the Actions associated to an Audience.

This field displays who created the Audience Record.

Created on

This field displays the date on which the Audience Record was created.

Last modified by

This field displays who last modified the Audience Record.

Last modified on

This field displays the date the Audience Record was last modified.

There are a range of buttons available from within this tab. Note: Most of the buttons will remain greyed out until an Audience in the list is selected. To select an Audience, select the required checkbox. The table below details each icon:

Icon

Description

This icon represents Create. This icon allows you to create a new Audience Group.

This icon represents Delete. This icon allows you to Delete an Audience Group.

This icon represents Export. This icon allows you to Export Audience Group data. It will be exported as a csv file.

This icon represents Text Wrap. This icon allows you to wrap the text contained within the table. This will allow you to see all text without expanding the columns.

This icon represents Clear Filters. This icon allows you to clear any filters that may be active on any of the data.

This icon represents Reset Columns. This icon allows you to reset the columns back to their original state, removing any edits made to them.

Within the table, hovering over any column title in the list of Audiences will produce a Menu button (

). This opens a pop-up window which provides the opportunity to edit columns, filter or search.

With the original Menu tab selected, the user can execute a number of actions.

Field

Description

Pin Column

This option allows a selected column to be pinned to the left or right.

Autosize This Column

This option allows a column to be auto sized back to default size.

Autosize All Columns

This option allows all columns to be auto sized back their default size.

Reset Columns

This option allows you to reset columns back to their original state, removing all edits made to them (like the Reset Columns icon).

In addition to the buttons displayed above the Audience list, each line also contains an “Add” button:

Clicking on this button will open a dialogue box which will allow you to assign specific People to the selected Audience group.

There are several options within this table:

  • Selecting the box in the top left corner will select all people in the list and allow them to be assigned to the Audience Group by selecting the “Assign” button above the table.

  • Selecting specific people within the list and then selecting “Assign” will add the selected individuals to the corresponding Audience Group.

  • To view the full list of People within the Project and add further individuals you can click on “View People” which will take you to the master list hosted in the Core Data section.

Audience Map

The Audience Map displays the audiences in a graph along the axes of audience size and level of impact.

Based on the information gathered and built into Serendata, the Audiences are plotted according to their Size and the Level of Impact. Hovering over the plotted numbers will display the names of the Audiences that fall within this cluster. You can also click on the number, and it will take you to the specific Audience group. There are a range of categories that Audience can fit into:

  • Keep Satisfied – Large/Priority Audience Group which is moderately impacted by the Change. The engagement of this group is critical and should be monitored closely. There should be regular communications and detailed updates. An example of such an Audience would be End Users in a large division with minimal changes to their ways of working.

  • Manage Closely – Priority Audience Group that represents large Audiences who are highly impacted by the Programme. The Programme will have a significant impact on their future work, processes and behaviours. Their engagement is critical and should be monitored closely. There should be regular communications and detailed updates. An example of such an Audience would be a large division whose ways of working will change significantly.

  • Monitor – Smaller audience groups that will be moderately impacted by the Programme. Represents Audiences who will be communicated to for key updates. These people won't be strongly impacted by the Programme but should be aware of what is changing. An example of such an Audience would be the senior management team.

  • Keep Informed – Small Audiences who will be strongly impacted by the Programme. They should regularly be kept updated about Programme decisions and impacts on them.

Readiness Tracking

The Readiness Tracking tab displays the results from Readiness Surveys that have been conducted for a current Project.

Information displayed in the table is as follows:

Field

Description

Name

This field displays the name of the Phase of the Change Programme in which the survey was conducted. This corresponds to the phases that have been defined in the project settings.

Description

This field contains an optional description of the Programme Phases as defined in the project settings.

Start Date

Shows the start date of the survey.

Target Phase

The next columns depict the target readiness scores for each phase as defined in the project settings.

This field displays who created the entry. This is a display only field.

Created on

This field displays the date on which the entry was created. This is a display only field.

Last modified by

This field displays who last modified the entry. This is a display only field.

Last modified on

This field displays the date the entry was last modified. This is a display only field.

Pulse count

Number of surveys that are planned for this phase.

Status

Describes the status of the survey. The options are in progress, on hold, cancelled and completed.

There are three buttons available from within this tab. The table below details each icon.

Note: The filter button will remain greyed out unless a filter is active.

Description

This icon represents Text Wrap.

This icon allows you to wrap the text contained within the table. This will allow you to see all text without expanding the columns.

This icon represents Clear Filters.

This icon allows you to clear any filters that may be active on any of the data.

This icon represents Reset Columns.

This icon allows you to reset the columns back to their original state, removing any edits made to them.

You further have the option to expand each line within the table. This will display further information including results for each of the Pulse Surveys completed within the respective phase.

This field displays the name of the survey.

Description

This field allows you to add an optional description of the survey.

Start Date

Shows the start date of the survey.

Phases

The next columns depict the achieved readiness scores for the surveys conducted in each corresponding phase. The Phases are pulled in from the project settings.

This field displays who created the entry. This is a display only field.

Created on

This field displays the date on which the entry was created. This is a display only field.

Last modified by

This field displays who last modified the entry. This is a display only field.

Last modified on

This field displays the date the entry was last modified. This is a display only field.

End Date

Shows the end date of the survey.

There are a range of buttons available from within this tab.

Note: Most of the buttons will remain greyed out until an Audience in the list is selected. To select an Audience, select the required checkbox. The table below details each icon:

As described above, clicking on the

icon will allow you to add a new survey. It will open a text field requiring you to enter a name for the survey.

This will create a new line containing all audience groups and allow you to enter survey results for them for this specific readiness survey.


To add survey results you can either upload a spreadsheet with your gathered responses or you can add them manually in the table.

To add survey results manually, click on the arrow next to each audience group to expand the line:

This will open the list of all people assign to this Audience. You can now enter survey results for each person and each phase. The scores must be between 1-5 as per a Likert scale scoring.

To upload a spreadsheet with your survey results, click on the

icon.

This will open another dialog box to provide you with an upload option as well as a template that you can download.

Hovering over the “i” button will provide you with further information around the formatting requirements of the spreadsheet.

Once you have edited your file as per the instructions above, simply drop it into the field to upload. This will add all the scores to your audience groups.

Readiness Charts

The Readiness Charts tab depicts Readiness Metrics for each audience across the conducted Readiness Surveys in a graph format.

  • The horizontal axis shows the surveys that have been conducted

  • The vertical axis depicts the scores for each survey

  • Results for each survey are shown as a dot

  • The vertical lines show the start and end dates of each project phase as defined in the project settings

  • The horizontal lines show the target scores for each phase of the project

The legend on the left-hand side of the graph is interactive and allows you to focus on specific data.

Hovering over a Project Phase brings the corresponding target score to the forefront:

AI-generated content may be incorrect.

To focus in on a smaller sample, simply click on a phase to unselect it. This will hide the data for that phase from the graph.

You have the option to filter by audience group using the icon at the top and then selecting Audiences.

This opens another dialogue box where you can select the Audiences you want to filter for. Select the required Audiences by checking the box to the left and then click on assign at the top to activate the filter.

This will then display the graph specifically for the selected Audience and allow you to target your actions accordingly.

This completes the guide for Audiences.
