Upload and manage your Processes

Use this article to upload and maintain your organisation's process hierarchy, manage Process Roles, review process reporting and connect Process Roles to the roles used within your project.

Understand Processes in Serendata

Processes provide a structured view of the work carried out across your organisation. They can be maintained as reusable Core Data and then used within projects to connect operational activity with change impacts, actions and the roles involved in delivering the work.

Serendata supports hierarchical process structures across Levels 1 to 5. Process Roles can be managed alongside the hierarchy and used to describe the responsibilities that perform each process.

Good practice. Build and maintain the process hierarchy in Core Data first, then use the project Processes area to work with the processes that are relevant to a specific change initiative.

Manage Processes in Core Data

From Settings, open Core Data and select Processes. The Processes tab is where you maintain the reusable process hierarchy for your organisation.

Open Processes from the Core Data sidebar.

Manage Processes.

Use this view to maintain process groups and the Level 1 to Level 5 hierarchy.

Add or upload.

Use the teal plus button to create records manually, or use the upload control to bring in a process structure in bulk.

The Process Group column provides the top-level grouping for your hierarchy. Level 1 to Level 5 can then be used to represent progressively more detailed process levels. Where your source process model contains a reference or identifier, the Unique Identifier field can be used to retain it in Serendata. Use Search to locate a process group or process within the hierarchy.

Bulk upload. For larger process hierarchies, use the Serendata spreadsheet uploader rather than creating each record individually. See 'Uploading Spreadsheet data to Serendata' for the upload steps and template guidance.

Manage Process Roles

Process Roles describe the responsibilities used to perform processes. They are maintained separately from the process hierarchy so that the same Process Role can be reused and mapped where required.

Process Roles.

Open the Process Roles tab from the Processes area in Core Data.

Add.

Use the teal plus button to create a Process Role.

Manage records.

Review existing Process Roles and their created or last-modified dates.

Search.

Use Search to locate an existing Process Role.

Open Processes within a project

After the relevant process data has been prepared, open the project you are working in and select Processes from the project sidebar.

Processes.

Open the project Processes area from the left-hand sidebar.

Review process reporting

The Processes reporting view gives you a summary of change activity against your process structure. Use it to understand where impacts and actions are concentrated before moving into the underlying data.

Process Impacts.

Review the number of impacts associated with Level 1 processes and the progress status of those impacts.

Process Actions.

Review the actions associated with Level 1 processes and their status. Where available, switch between Progress and RAG views.

View Data.

Use View Data in the top right-hand corner to open the underlying process data grid.

Manage project Processes

The process data grid gives you the detailed process hierarchy used within the project. Expand process groups to work through the hierarchy and review the roles connected to each process.

Use Process Group and Levels 1 to 5 to navigate the detailed process structure.

Process Roles.

Review the Process Roles linked to the relevant process records.

Mapped Job Roles.

Review the organisational roles mapped to those Process Roles.

This connection between process hierarchy, Process Roles and organisational roles helps you understand not only what is changing, but which roles are involved in carrying out the affected work.

Map Process Roles to organisational roles

Use the Role-to-Position-Mapping view to connect the Process Roles used in your process model with the roles held in your organisation. This creates the link between operational responsibilities and the people or role populations that may be affected by change.

Open this Processes sub-section when you need to maintain role mappings.

Name and Business Area.

Use the organisational role and Business Area to identify the position you are mapping.

Process Roles.

Link one or more Process Roles to the organisational role where appropriate.

A role can be associated with more than one Process Role where the position performs responsibilities across multiple processes. Keep mappings current as responsibilities change.

How the pieces fit together

Core Data provides the reusable process hierarchy and Process Roles. Within a project, the Processes area connects that hierarchy with impacts, actions and mapped roles, providing a stronger foundation for analysis, planning and reporting.
