Open Processes
Role Mapping is managed from Core Data. Open Core Data from Settings, then select Processes.

Open the Role Mapping tools
The Processes area contains four related views. Use Processes to manage the process hierarchy, Process Roles to review the roles associated with those processes, Role Mapping to create the mappings, and Role Mapping Directory to review the completed mappings in a single data view.
Figure 2. Processes and Role Mapping views
Review Process Roles
Open Process Roles to review the available role definitions before mapping. Each Process Role can show its source and the Processes it is associated with, helping you confirm that the required roles are available before assigning them to Business Roles and people.
Figure 3. Process Roles
Map Process Roles to people
Open Role Mapping and select a Business Role to view its mapping matrix. The people assigned to the Business Role appear across the columns, while Process Roles are listed down the rows. Select an individual cell to add or remove a single mapping.
Figure 4. Role Mapping matrix
Map a whole row or column. Select the name of a Process Role on the left to assign that Process Role to every person shown in the row. Select a person's name at the top of the matrix to assign every displayed Process Role to that person. This lets you complete repeated mappings without selecting each cell individually.
Sign-off and editing. Mappings can only be changed while the role or position is open for editing. Once it has been signed off, the mapping is locked. If changes are required later, select Re-open to return it to an editable state, make the required changes, then sign it off again when the mapping is complete.
Review Business Roles
The Role Mapping view groups Business Roles by Business Area and shows the number of people associated with each role. Use this view to select the Business Role you want to map and to work through mapping coverage across the organisation.

Review mappings in the directory
Use Role Mapping Directory for a person-level overview of the completed mappings. The directory brings together each person, their Place, Business Area and Business Role, alongside the Process Roles mapped to them. Use it to validate coverage, identify gaps and confirm that people have the expected Process Roles before the mapping is finalised.

Recommended workflow
Review the Process Roles first, then work through each Business Role in Role Mapping. Use individual cells for specific assignments and the row or column shortcuts where the same mapping applies more broadly. Review the result in Role Mapping Directory, then sign off the role or position when the mapping is complete.
