Change Actions are planned by the Business Change Management team to mitigate any identified negative impacts, or exploit any identified positive impacts, and realise the anticipated benefits of a change.  

Insight is used to both plan any needed actions and track the execution of the actions. 

Planning actions 

Actions should be identified and planned using Insight. Each Action will have an owner and an assigned user who uses Insight, typically in the Business Change team.

  

  • Owner: Accountable for the Action to be completed 

  • Assigned user: Responsible for the Action being completed 

It is also important to have appropriate action sponsorship and sign-off within the organisation. This is especially true when people in the organisation need to dedicate time to support the actions, for example completing training or attending workshops.  

Actions have a start and end date, which is then visualised in Gantt form on the project screen. Once all Actions have been identified in Insight, they will collectively form the Change Plan. 

Tracking actions 

Actions should be tracked using Insight over the course of the project. 

Tracking Actions in Insight is like tracking a project plan. Each Action will have a manually maintained RAG status as follows: 

  • Red: Action behind plan and no recovery plan in place 

  • Amber: Action behind plan and recovery plan in place 

  • Green: Action on-track 

Insight can also be easily used to manage resources during delivery of a change, by assigning a responsible user to complete each Action. Reporting can take this into account and track the delivery of team members.
