Reviewing your data

Using the system to keep your data as relevant as possible.

Another way of enforcing data accuracy and relevance is to provide you with information on when each piece of data was last reviewed and by whom.

Data shouldn’t be left dormant, as it runs the risk of becoming irrelevant. As a reminder to review your data and ensure it’s still accurate and relevant, we include a 'Last Reviewed' and 'Next Review' date on each record.

The review date is set to six weeks from the last review or the created date by default. Due for review is when there are less than two weeks remaining until the review date. Overdue is anytime after the review date.

Quick Review is available across Stakeholders, Impacts and Actions.

Reviewing in Table view

If you wish to mark a record as reviewed (i.e. you are confident that this reflects current information and knowledge), then:

  1. Select the checkbox to the left of the record (note: you can select multiple records)

  2. Select Review from the menu at the top of the workspace

  3. If you wish, you can add a note about the review (i.e. 'discussed with Head of Finance - no change'), then select Confirm Review

  4. The last reviewed and next review dates will update to the date of the review and six weeks into the future, respectively.

Reviewing in full view

In full record view, there are two ways to conduct a review:

  1. Select the Mark as Reviewed button from the top of the workspace

  2. If you select the Edit button, any changes will automatically trigger a 'review' event

  3. In both cases, you are able to leave comments before confirming your review.
